What certified mail can show

USPS certified mail provides a mailing record and tracking. Optional return-receipt services may identify a delivery date and recipient signature or electronic record. Keep the receipt, tracking history, return receipt, and an exact copy of what was enclosed.

What it cannot establish by itself

  • That service complied with the court rule.
  • That the correct person signed or had authority to accept service.
  • That every document claimed was inside the envelope.
  • That silence makes the letter’s assertions legally admitted.
  • That a deadline is extended or an order is suspended.

Before sending

  • Identify whether the document must be filed, served, or merely delivered.
  • Read the applicable rule for permitted service methods.
  • Use the official service address and required attention line.
  • Include the case number, neutral subject, requested action, and response date only when a rule supports it.
  • Do not send prohibited ex parte communications to a judge.
  • File a certificate of service only when accurate and required.

After delivery

Save the USPS record promptly because online tracking may not remain available indefinitely. If delivery fails, document the reason and use the next method permitted by law. A mailed letter to a clerk or agency does not substitute for filing through the required system.
